Selecting the Type of Filing Cabinet

A filing cabinet is a piece of office equipment used to store files and folders in drawers. To determine which type of cabinet would be most convenient for your use, here are the various types of cabinets:

1. The horizontal file cabinet, the oldest prototype, is fireproof and made of forged metal. It separates papers and can be locked and sealed.

2. The vertical file cabinet is the type of filing cabinet most utilized by businesses today. They come in two, three, four, and five drawer versions. The depths available are 25, 26 ½, and 28 inches. They come in letter-size and legal-size. The drawers are designed to accept hanging file folders because this is the most commonly used method of storage. Some models have a "follower block" which adjusts the depth inside the drawer so that files can stay upright, no matter what the size.

3. The lateral file cabinet is usually 20 inches in depth and 30, 36, or 42 inches in width. It comes in a selection of 2, 3, 4, or 5 drawer versions. The difference between a lateral filing cabinet and a vertical one is that the former allows side-to-side or front-to-back filing, depending on the user's preference. The drawers do not extend as far as a vertical file, making access and view of files faster. Usually, the top drawer in a 5-drawer lateral file contains a pull-out shelf.

4. Finally, there is the shelf file which is engineered to store folders with side tabs. Instead of drawers, it is made up of shelves. Its doors may recede into the cabinet. They can be 12 inches or 18 inches deep.

The type of filing cabinet you need largely depends on the nature of the filing system practiced in your work environment.
